How we Protect your Confidentiality

In our business, it is essential to work very closely with clients. We sometimes collect Personal Information for the preparation of résumé packages and/or for the purposes of career, interview, or job search coaching. In some cases, our cooperative partnership also touches on business-critical areas where highly sensitive data is exchanged.

GMG’s fundamental principle is to treat this information with absolute discretion and the strictest confidentiality at all times. All the information that you submit to us is considered strictly private. We will not disclose any information to anyone outside GMG's organization without your written authorization and permission, unless we believe we are required by law to do so. If we need to contact you regarding questions about your information while we are working on a project for you, we will try to reach you by the method you request. In the event we must contact you by e-mail or phone, we will use our best efforts to contact you as discreetly as possible.

 

How Personal Information is Collected

GMG sometimes collects Personal Information through a variety of means and from different sources. This includes:

  • Personal Information that you provide in conversations, in correspondence, in questionnaires, or through applications and other forms.
  • Personal Information that GMG receives from third parties with your consent, such as Personal Information provided from former employers or individuals or organizations who provide test results or references.
  • Personal Information provided by you using GMG’s office and computer equipment and software, including e-mail and Internet applications.

 

What Personal Information is Collected

GMG collects and maintains different types of Personal Information including:

  • Identification information such as name, home address, telephone, personal email address, age range.
  • Educational and work history, such as educational institutions attended, resumes, applications, salary range, job titles, areas for improvement, goals, strategies, past experiences, motivation levels, and other information deemed necessary to effectively deliver high-quality results.
  • Other information necessary to GMG’s services, which may be voluntarily disclosed by you in the course of your program with GMG.

 

How Personal Information is Used

Personal Information is collected and used for the administration, planning, and management of GMG services, including resume package writing, career guidance, interview roleplays, and job search assistance.  This includes, but is not limited to:

  • Advising, counselling, and coaching clients
  • Training and coaching within a client organization
  • Developing customized plans and assignments, and monitoring actions
  • Updating corporate clients on outplacement progress
  • Research on statistics related to employment and workplace trends

 

With whom Personal Information is Shared

Unless we have your permission or are required by law, GMG will only share the Personal Information you provide to GMG entities and/or business partners who are acting on GMG’s behalf for the uses described above.

If your current or former employer has purchased the services provided to you by GMG, we are obliged to report your utilisation of and cooperation with those services. However, we do not report confidential information regarding information that you might share with coaches, consultants and/or other agents of GMG that is not related to our services.

There are circumstances where the use and/or disclosure of Personal Information may be justified or permitted or where GMG is obliged to disclose information without consent. Such circumstances may include:

  • Where required by law or by order of a court, administrative agency or other governmental tribunal
  • Where GMG believes, upon reasonable grounds, that it is necessary to protect the privacy, safety or property of an identifiable person or group
  • Where it is alleged that the person concerned is: guilty of a criminal offence; civilly liable in a legal action; or guilty of professional misconduct
  • Where it is necessary to permit GMG to pursue available remedies or limit any damages that it may sustain
  • Where the information is public (e.g. information others can access from other sources).

GMG gathers collective information about our clients. This data may be used anonymously and in the aggregate in order to improve our services and in connection with planning, marketing, and advertising our services. We may share this information with our partners, but only in the aggregate. We do not disclose personal or business information that you provide, except when we believe the law requires it or when you have authorized it.

GMG is known as a leading resume writing firm in Canada. We train resume writers and other career practitioners across Canada. Additionally, we are regularly featured in the media. GMG uses sample resumes for these purposes, but be assured we will never use your resume as a sample without your written approval. Further, we always fictionalize all information that would identify you (name, address, name of employer, and so forth) to protect your privacy and confidentiality.

 

How Long we Keep Your Information

GMG retains Personal Information about Clients as long as GMG believes it is necessary to fulfil the purpose for which it was collected. Generally, GMG retains Personal Information for the duration of the program with GMG and up to seven years thereafter to the extent required by law or prudent business practice. However, in certain circumstances, GMG will retain aspects of Personal Information for shorter periods. 

 

How we Secure Your Information

GMG is committed to ensuring the security of your Personal Information. To prevent the loss, misuse, unauthorized access, disclosure or modification of your Personal Information, GMG has put in place various safeguards.  As part of these precautions, GMG has established appropriate physical, technical and managerial procedures to secure the information that we collect and retain. Authorized GMG senior executive management, company employees and authorized agents have access to files that contain Personal Information.

 

Other Privacy Practices

GMG will from time to time review and revise its privacy practices and this Privacy Policy. In the event of any amendment, the GMG website will post notices of changes to this Privacy Policy.
